Imagine you’re the captain of a ship navigating through the vast sea of business data. Suddenly, it’s time to switch harbors — moving your precious cargo (all your Google Workspace data) safely to a new port (a reseller). Sounds tricky? Fear not! With a little guidance, this transfer can be smooth sailing.
Step 1: Get the Right Permissions
First things first, only the super admin of your Google Workspace can unlock the treasure chest. This privileged account holds the keys to export your organization’s data.
Log in to the Google Admin Console and sail over to the Data Export tool. This handy feature is your gateway to exporting everything from emails, Drive files, calendars, contacts, and more.
Step 3: Chart Your Course – Set Up the Export
Give your export journey a name and decide whether you want a full shipload—meaning all users’ data—or just a portion. Select where your data should be safely docked; Google offers cloud storage locations across the Americas, Europe, or you can select no preference.
Step 4: Set Sail and Wait Patiently
After hitting “Start export,” your data begins its voyage. Depending on your data size, this could take hours to a few days. Remember, patience is key to a successful migration.
Step 5: Retrieve Your Precious Cargo
Once the export is complete, download the archive files from Google’s cloud storage. This package holds all your organization’s digital belongings wrapped securely.
Step 6: Move Your Data to the New Reseller
Hand over or upload this treasure to your new reseller. They will help you unpack, import, and set up everything in your new Google Workspace environment with minimal downtime.
You can export all of your Google Workspace data, including data for your 14 users, and later import it when moving to a reseller. Google provides tools specifically for this purpose.

Simply put:
As a super administrator, you can use the Data Export tool to export all your organization’s data:
- Sign in to the Google Admin console with your super administrator account
- Go to Menu > Data > Data import & export > Data Export
- Click “Set up new export”
- Enter a name for your export
- In the “Scope” box, check “Export all user data for the entire organization”
- Leave all services selected in the “Service” box
- Choose a date range
- For destination, select “Google-provided Cloud bucket” and choose your preferred region
- Click “Start export”
Pro Tips for a Smooth Voyage
- Notify your crew (users) in advance about the move to avoid surprises.
- For massive fleets (large organizations), a staged move or consultation with Google support might be wise.
- Use migration specialists or tools if your data includes complex configurations.
Export Limitations and Timing
- Organizations with any Google Workspace edition can perform one full data export (and one single-user export) every 30 days
- When you start an export, there’s a 48-hour waiting period before the data becomes available (for security reasons)
- The exported data will be stored in a Google Cloud Storage bucket, which you can access for 60 days
By following this map, moving your Google Workspace data isn’t a daunting odyssey but an exciting new chapter. Set your sails, and embark on a seamless voyage to your new digital harbor. The export process typically takes 72 hours but may take up to 14 days depending on the size of your data. All super administrators will receive a notification email when the process is complete.
